Well it's Summertime & this issue is dedicated to the artful, fun & creative ways of playing! Yup, you heard me correctly. Even Professional Organizers need a break sometime.
As many of you know from experience, if there is a choice between you taking that l-o-o-o-ng extended weekend, a well deserved vacation or keeping a regularly scheduled organizing consultation at this time of year -- I will highly encourage you to take the time to play. This
IS the priority in my book!You have worked far too hard during the year to deny yourself this well earned frivolous necessity. Besides, I know that once you take the time to recharge -- you'll be raring & ready to go full steam ahead!
So kick back & enjoy this issue. It is my intention that by sharing some of my own experiences in dealing with Summer in the past & present that you will discover for yourself the importance of this season in totally different light. Get the creative juices flowing & think about how you can

Running Your Business Efficiently
I was recently asked by the local program committee of my professional association (NAPO SFBA) if I would consider presenting a topic on "Running Your Business Efficiently." I told them I would be honored.
On the surface it seems as if this topic is about productivity. Yes, Professional Organizers need to apply their own advice too. While productivity is a component, I assure you, there is a deeper need which is why I knew I had to speak on that particular topic.
I meet fellow entrepreneurs, sole proprietors or small business owners all the time. In my role as a Professional Business Coach, I co-facilitate a monthly business-development group at the San Francisco Chamber of Commerce. The dialog most people are having is one on how to manage all of their roles and responsibilities, both on a personal and professional level. While efficiency has its place, the heart of the matter is balance.
Lately, I have been struggling with this too. Only "lately" is actually an accumulation of choices I have made over the past couple of years. I didn't get here over-night. Yet I have asked myself "How did I get here?" and "What was I thinking?" Now there's nowhere to run, nowhere to hide. There's no way to "fake it" anymore either. All the efficiency and effectiveness I could gain isn't going to solve the core issue. I know this is "up" for me and a majority of others as well. I know this because it's in the conversation, at work, in professional meetings, at home and quite honestly, in "my head" when I sit "quietly" to reflect upon my life.
So, how do we really "run our businesses effectively?" The audience I will be speaking to in the Fall is comprised of sole proprietors and small business owners, like myself. In our respective roles in running our companies, we often find ourselves wearing several "hats." These include, yet are not limited to: administrative assistant, bookkeeper, cashier, marketing manager, office janitor, stocking clerk, etc. Oh yeah, least we forget, as the principle of the firm we run, we are often the ones who deliver the product and/or services. And what about a personal life, you ask? Who has time!
Does this sound familiar?
If we look closely enough, the answer is simple. And I mean that quite literally. All around us there are "signs" for us to simplify. We need to simplify our lives. It, too, is in the conversation as a solution to our respective situations.
How do we begin? By approaching this from a holistic approach that includes not only our professional lives, but our personal lives as well.
A participant in one of our meetings at the San Francisco Chamber recently suggested that we create a "Life by Design." This particular monthly meeting was addressing the various problems facing the business owner. Unanimously, the 25 participants all wanted to know how to balance their respective responsibilities. What we all realized was that there isn't necessarily a model in place to guide us. For most of us, we thought that a "successful" entrepreneur meant 60 hours a week, devoted to our business. A personal life was a distant second.
The mere thought of a "Life-by-Design" intrigued us at the meeting. We sat up and said a resounding "YES!" Let's create that new model. We don't necessarily know what it looks like. Yet when we look towards building a company the runs efficiently, lets do so consciously, implementing the principle of simplicity.
Perhaps the new model will involve less activities in our own business endeavors as we face the realities of what it takes for one or a few to actually develop, operate and grow a company. It doesn't mean we give up our dreams, just slow down. And perhaps we re-evaluate the quality of our lives and make a commitment not to separate the personal from the professional -- they are intertwined. Quality and balance are paramount for us to live a full life of peace, joy and contribution.
What does a "Life-by-Design" look like to you? How would you create it?
Today I am actively pursuing simplicity. My partner, Julie Signore, has presented me with a wonderful gift to reinforce this, a book titled
Simple Abundance, by Sarah Ban Breathnach. It's a gentle reminder of what we all know, deep inside. It applies to my professional life and personal life, although they are not exclusive.When I make my presentation this Fall, I will be further along in my process. I plan to use this opportunity to request that the audience take a step back and look at the whole picture of their respective lives. From this perspective, we can look honestly and thoroughly at how to "run our businesses efficiently."
Who wants to repeat the mistakes of the "unhealthy corporate culture," where you're valued because you gave your life to your company? Let's not make that mistake again.

The Quiet Whispers... 
As I slowly draw closer to reaching the half millennium stage in my chronological age, while physically feeling I'm almost pushing 25, I have grown to listen to the child within that wants to p-l-a-y! I mean really, really, seriously play! It took many years to even hear the voice, the tug at my spirit, the constant whispers in my mind. Today I know the whispers are the deepest & truest part of my essence. The part that I will continually need to honor in order to maintain balance in my professional & personal life. The battle is constant. The process is now my focus.
A humongous step for me is p-l-a-y-i-n-g every Sunday, in any way, shape of form. Even if it means lazily laying on a beach, or under a swollen-branched tree granting comforting shade. If I somehow miss my day of recharge in our lovely, peaceful, life-giving Hawaiian waters ...my spirit is easily weakened with the demands of my workload. This is my truth & essence: I constantly need to listen to the whispers in my mind & avoid by-passing this important message, for it will greatly affect my productivity through out the week.

if we only slow down long enough to take the time to listen Yet many people run from instead of to this quiet time a-l-o-n-e. What is it we fear will be heard? What are we unwilling to acknowledge tugging at our spirits? What are we afraid the whispers will remind us of -- lost visions? Promises & commitments unkept to ourselves? Unfulfilled dreams? Long time yearnings or goals? Or is it that we continue to blatantly deny the truest gifts endowed to each of us?We need to listen to the whispers & remind ourselves that first & foremost we are human beings -- not human doings. Take time for your quiet whispers. |

The Experience Of The Process...

One weekend this summer my hubby Paulie & I ventured on a
summertime weekend escape. In preparation for this time of chilling out &
kicking back, I decided to purchase a bucket of sand toys from the local kids
kingdom. I was in awe of the loot of treasures I was abound with! Colorful spades,
shovels, rakes, circuitous molding shapes & buckets of all shapes & sizes. WOW!
When did they start making all this great stuff? (I guess you can tell -- I don't have
kids). During the weekend we created a wonderfully nonsensical sandcastle fortress on a Makena beach. We had numerous observers in the process too. Actually, I believe they were baffled at two adults crawling around on all fours in the sand! |

I decided that for me, the experience was going to be anything except methodical or with a plan seeing as that's how I spend my professional life. I had no rhyme or reason as to the how in venturing on this creation. No expectations. I hadn't a clue what the outcome would even look like. It was a total free-flow from beginning to end. In letting go of the doing in the creation of the sandcastle I allowed myself the freedom of being more playful & creating more fun. |

Without expectation our creation changed forms as we neared completion. What was a mound with appendages in the center of our mote, became a huge whale boasting a broad dorsal fin & fluke amidst the nucleus of the castle's opening. It was awesome!
One of the most joyous experiences of this creation was getting dirty like a kid. I started off neat -- why of course! (I guess some old habits die slowly!) By the time we were done, I was sandy from head to toe & in every nook & cranny of my body, as I later discovered. I guess you might say I put my whole being into the process.
After cleaning up we laid back on nearby lounge chairs admiring the creation of our magnificent sculpture, while I continued to dislodge sand from hidden places. In my mind I reflected & chuckled:
-- C'est la vie!
| As the day lazily passed, the moment of truth eventually arrived
as the tide started inching its way to the outside protective fortress of our creation. I
became mesmerized watching the waves come in one by one, crashing with intention to little
avail on the work of art we had created. The walls withheld the best of them, only slowly
eating away at the intricate designs that Paul had created with his final artistic
touches. (He was actually more the methodical perfectionist that day than me, believe it
or not!) We decided to go for a long walk as the tide continued to rise. By this time Paul had devised a game stating: each wave will represent 100 hundred years of wear & tear on the structure -- we'll see how long it holds. (Can you tell he's a certified Home Inspector?) |
| By the time we returned from our walk ...wave centuries had passed. Our sandcastle started taking in water, meandering through all the strategic pathways we created to divert its force. The immensely powerful whale creation was hardly marred, sparing only the loss of detail on his dorsal fin. | ![]() |
As the sun grew hotter, we retired to the shade of the grassy grounds, leaving our creation to the powers that be -- that of the mighty surf. We left relishing in the fun we concocted, the sandcastle fortress we created & the adventure of our design withstanding the signs of the advancing tide & wave centuries. We were saturated with the pleasure of our day of play & being childlike.
Now living on the mountain is my choice location for peace & solitude --away from the onslaught of tourists, yet, the child in me l-o-v-e-s the ocean so staying at a hotel directly on the beach brought sheer delight to my being.
With all the intent of a child on Christmas morning, the following day I became antsy to get to the beach in the very early morning hours. Paul was puttsing in the room & I became more & more anxious to feel the early morning coolness. For me the sand, air & surf contain a magic of sorts at this time of day -- so with a twinkle in my eye I raced down to the beach.
| Arriving later than I intended, I noticed far more tourists about this day. Without giving the sandcastle a second thought at the moment, you can imagine my sheer delight in seeing our creation still standing! WOW! The main sandcastle was still in place!! Our whale was transformed into a withering mound -- similar to the wicked witch, in the Wizard of Oz. Half of my cockeyed steeples were still intact ...& a visiting Mainland family had plopped right alongside our creation -- even with a mile of sandy beach alternatives available! | ![]() |
When Paul arrived he too was totally amazed. Without conferring with each other, we both took on the protective parent mode for our creation. We breathlessly watched every step this family made. Would they intentionally or carelessly crush the remains of our creation?
| We were amazed to see the 3 young kids circumvent any & all contact with the remaining structure. It was almost like an unspoken reverence to the remaining creation. To them it may have even appeared to be an awesome sandcastle wave centuries ago, & curiosity & confusion perplexed their faces each time they passed what was once easily detected as our mighty whale. We knew the truth. We found ourselves wishing these kids could have witnessed its full magnificence too. If they had only arrived a day earlier... |
| Then all of the sudden with one ...two ...three
plodding footfalls the remaining walls could no longer withstand the stress ...their dad
arrived & aimlessly walked right through the sandcastles path to unite with his
family. The remains our creation met its demise within seconds. After that it was all
downhill & the 3 young kids no longer painstakingly avoided the remains. The sandcastle
fortress ...was no more. Wave centuries were unable to reduce our sandcastle to the earth overnight, yet in seconds flat being unconscious to one's surroundings delivered a swift blow of fate! It was sad witnessing the instantaneous destruction of the sandcastle due to unconscious footsteps. Yet, the demise of the sandcastle was inevitable at some point in time, whether by natural or human forces. |
Something else of more importance became clearer to me at that precise moment. The outcome of the sandcastle was not the mission. I still had many treasures & gifts that the process provided the previous day:

I share this adventure for two reasons:
You see, many of my clients have great expectations in the
end result of our organizational consultations as we begin, & rightfully so. They are truly eager to take control over years of chaos, clutter or disarray that has forced them to function in their professional & personal life less efficiently. Yet, they soon learn after our sessions commence, that being in the process is what will allow the desired outcome to live on.| Dis-organization does not happen overnight. The final outcome in regaining more control of one's time, space & life evolves from experiencing many, many different processes. This too does not happen magically overnight. Maybe this is why reading the average book on getting organized is less successful than working with a Professional Organizer? As someone recently told me ...most books tell you what to do -- they don't tell you how to do it. | ![]() |

If you have never experienced working with a Professional Organizer, being in the process for my clients involves: going over every single piece of paper in or on: the floor, desk, storage boxes, file cabinets, drawers, concealing furniture, hidden in corners, stacked in closets, piled on shelves & consuming any & all available space.

It is through our consultations together, that being in the process is reinforced. In this manner clients sort, weed, toss, file & categorize on their own in the future once the outcome is achieved & the project is complete. Being in the process creates the eventual triumph over the paper centuries & creates an environment for you to become more fully conscious in creating habits that support your true forte, professionally & personally.
The experience of the process lives on ...just like the creation of the sandcastle. Being in the process of working towards the desired outcome, & co-creating your organized space -- is the foundation for your sandcastle fortress.
In this manner wave centuries won't reduce your sandcastle to the earth overnight & being unconscious to your surroundings won't deliver a swift blow of fate bringing your castle to its sudden demise.

Summertime, summertime, sum-sum-su-u-ummer-er-er-ti-i-i-i-ime -- okay so I'm dating myself. Yet I remember a few years back (ok several years back) when this song denoted a time of F-U-N; no worries; playtime; staying up late; vacationing on the beach; camping trips; BBQ's & picnics galore! It brings back the more peaceful sights & sounds from my New England upbringing entailing polliwogs; crickets; peepers; seagulls; heat lightning & thundershowers. The intoxicating smell of fresh Maine lobsters & steamers; sweet, succulent queen anne's corn; fresh cut juicy watermelon & the aroma of salt-filled aire on a New England seaside(or was it the scent of low tide?) | ![]() |
I remember this is the way it was depicted -- yet my summers were far from this reality. I learned responsibility at a very young age, mostly for dysfunctional reasons. I think in retrospect I actually even carried this obligation to a new dimension -- the real Twilight Zone. As a teenager I had a full time job, volunteered for as much O.T. as possible & babysat for 5 small boys in between.

As an undergraduate student, I filled my summertime
by enrolling in the fast-paced-double-sessions of summer school, in order to graduate in 3
years. In my spare time I maintained waitressing jobs of varying sorts to subsidize my
education. I suppose it was a rather rigorous credit load, considering there were still
only 24 hours in a day. When I chose to persevere attaining my Masters Degree, I had a full time job teaching, while attending school evenings. Summertime was once again filled with more non-stop, back-to-back classes, while holding down a part-time job to once again subsidize my Masters program. |
| Summers were anything except: chilling out &
kicking back, for me. I had created too many responsibilities & took life far too
seriously ...using the reality of my circumstances as my continued logic. Yet, I can
honestly say I had a purpose & passion for what I had chosen to do with my summers. I
had several goals & I was adamant about fulfilling them -- within a specific
timeline, while maintaining a deans list standing & high honors along the way. Stress?
No such word for me -- it was a way of life! Years drifted by without ever taking into consideration that the fast-paced workaholic style I had grown so accustomed to, was no longer necessary. I was hooked & never even realized it. As I grew older I was set on achieving even more, bigger, better & higher goals ...& nothing was going to hold me back. Certainly not the lazy days of summer for sure! |
The truth of the matter is, that in maintaining this stride I lost focus of the
Why in doing so much of it. The desired outcome is what totally held my attention. I became numb to the process involved in attaining my goals.| I never truly arrived either because the jobs, promotions,
bonuses, paychecks & sheepskins left me feeling a huge void. I had lost site of experiencing
the process in fulfilling my goals. I only focused on the outcomes & they were
always the same: I achieved exactly what I wanted! Yet, found it quite empty instead of
fulfilling. Yes, I became a high achiever, racking up many awards, promotions, degrees,
job responsibilities, & even relationships. I also paid many astronomical prices along
the way of my journey. My summertime message for you is one of authenticity. It comes from years of experience in the art of achieving versus the art of chilling out & kicking back when it was necessary. It comes from my deep sense of love & caring for each of you, whether we have met, or have yet to meet. |

My friends, summertime needs
your immediate attention to p-l-a-y! Play hard, play easy, play
long, play joyfully & play with the same passion & intention that you give to your
professional lives. There is a time to play & a time to work. Summertime is the excuse
that many of us need for chilling out & kicking back. Be mindful that what you do
to recharge will repay you over & over again in the upcoming months, the same way
organizing consultations repay you in your professional future. I encourage you all to honor a special space & time for yourself this summer before it concludes. Whatever you have on your agenda needs to be prioritized. Ask yourself: |

Take time to enhance your Summertime, summertime, sum-sum-su-u-u-ummer-er-er-ti-i-i-i-ime & the creative art of chilling out & kicking back. It plays a remarkable role in allowing you to enjoy the process of whatever you take on ...instead of being caught up in what you may think is the fulfillment of your desired outcomes.
Trust me, knowing when to practice the art of playing versus the art of achieving has a great deal to do with the fulfillment of the process rather than the void an outcome can render when it is the sole focus.

There is always tomorrow! I'll get to it later. I have something else to do. I ran out of time. I operate best when I'm in a crunch. I've always done it this way. Maybe tomorrow will be the day I really feel more motivated ...& the list goes on & on& on.
Summertime is a wonderful time to decide to decide that no matter what else is going on in your hectic pace of life ...that you deserve to create more time, space & control in your environment as well as your personal & professional life.
For many of you, there has been a quiet call or inner beckoning for more decluttering in your lives, more peace of mind in your environment & more control of your time. I applaud your efforts in taking time out to listen. This voice would not even be heard if you had not created a space for silence. The silence that is found in even 10 minutes of silent gratitude, meditation, journaling, walking, exercising or chilling out & kicking back.
In our upcoming issues I will leave you with mini tips in reducing your procrastination challenges in a vast array of areas. This months tip addresses projects.
As far as any project is concerned -- if they are of any significant importance learn to schedule them in chewable chunks rather than in one or two week marathons which consume entire vacations. Yes, they may take longer. Yet, a slower process & pace may just be what the Doctor ordered!
List the project you want to tackle. Then do what I fondly call a complete & total brain dump of all the minutia details the project entails. When your brain dump is complete, create a list of mini steps that you need to take to get from point A to point Z. Schedule 1, 2 or 3 mini steps each week. In no time flat you will have totally completed the project.
It's waiting for huge chunks of time that reinforce your procrastination & allow you to support your excuse: I don't have time. You never will have time if you wait for one or two full weeks to tackle your project -- or even one or two full days! Remember vacations are meant for playing not catching up.
